Privacy Policy

Last updated: 28 October 2026

Animal Record Manager (ARM) is built and operated in New Zealand by Grady McEvoy, trading as Animal Record Manager. ARM provides record-management software for animal rescue and welfare organisations. This policy explains how personal information is handled through ARM.

Information held in ARM

ARM may hold user account information and operational information entered by authorised organisations about foster carers, volunteers, adopters and other contacts. This can include names, contact details, addresses, availability and relevant operational notes. ARM also processes animal records, photographs and related welfare information. Organisations should only enter personal information reasonably necessary for their rescue and welfare activities.

Who is responsible for information

An organisation using ARM remains responsible for deciding what personal information it collects and why, and for ensuring its collection and use is lawful. ARM operates the platform and processes information needed to provide, secure, maintain and support the service.

Why information is used

Information is used to authenticate users, provide animal rescue and welfare workflows, manage placements and adoptions, maintain operational records, protect the service, provide support and improve ARM. Personal information should not be reused for unrelated purposes unless permitted by law.

Analytics and browser storage

Google Analytics is optional and is not loaded unless a visitor accepts analytics. Essential cookies or browser storage may still be required for authentication, security and functional settings. See the Cookie Policy.

Service providers and overseas processing

ARM uses technology providers to host and operate the application, database, authentication and storage services, and optional analytics. Some providers may process information outside New Zealand. ARM limits provider access to what is needed to deliver their services and reviews the privacy and security arrangements relevant to those services.

Security and retention

ARM uses reasonable technical and organisational safeguards to protect information. Organisations and authorised users are responsible for keeping their accounts secure and limiting access appropriately. Personal information should be retained only while it remains reasonably necessary for the purpose for which it was collected or for applicable legal, dispute, audit or record-keeping requirements, then securely deleted or anonymised where appropriate.

Access and correction

Individuals may have rights under the New Zealand Privacy Act 2020 to request access to personal information held about them and ask for correction. Requests concerning information entered by a rescue organisation should normally be made to that organisation. Platform-level privacy enquiries can be sent to hello@animalrecordmanager.co.nz.

Privacy breaches

Suspected unauthorised access, loss or disclosure should be reported promptly so it can be assessed and, where required, notified to affected people and the Office of the Privacy Commissioner.
