Terms & Conditions

Last updated: 19 October 2026

These terms apply to use of Animal Record Manager (ARM), built and operated in New Zealand by Grady McEvoy, trading as Animal Record Manager. ARM provides record-management software for animal rescue and welfare organisations.

Authorised use

Users must only access records they are authorised to access, keep account credentials secure and not attempt to bypass security or permission controls. Organisations are responsible for ensuring their users have appropriate authority and for the accuracy and lawfulness of information entered into ARM.

Personal information

Do not enter personal information merely because it may be useful later. Only collect and record information reasonably necessary for legitimate rescue, welfare, volunteer, foster, adoption or administrative purposes. Free-text notes should be factual, relevant and respectful.

Animal and veterinary records

ARM assists with record keeping but does not provide veterinary, medical or legal advice. Users remain responsible for professional decisions, verification of records and compliance with applicable laws, standards and organisational procedures.

Plans, fees and subscriptions

ARM may provide complimentary access to some organisations and may offer paid subscription plans to others. Where a paid plan applies, the price, billing frequency and material plan terms will be disclosed before the organisation subscribes. Unless separately agreed, access to a complimentary plan does not create an entitlement to indefinite free service, and ARM will provide reasonable notice before introducing a charge for an organisation that was previously using the service without charge.

Availability and changes

Reasonable efforts are made to keep ARM available and secure, but uninterrupted or error-free operation is not guaranteed. Features may change as the service is maintained and improved. Material changes affecting paid plans should be communicated appropriately.

Content and intellectual property

Users and organisations must have appropriate rights or permission to upload photographs, logos, documents and other material. Do not upload content that infringes copyright, privacy or other rights. Rights in organisation-supplied content remain with the relevant rights holder. ARM's own software, branding and original platform content remain the property of their respective rights holder.

Suspension and ending access

Access may be restricted or suspended where reasonably necessary to protect ARM, users, animal welfare records or personal information, where use is unlawful, or where these terms are materially breached. Any additional cancellation or billing terms applying to a paid subscription should be disclosed with that plan.
